Bank Details on an Invoice: What to Include, and Different Details for One Client

Put the details your client's bank asks for on the invoice: your account name and account number, plus a routing number, sort code, BSB, or an IBAN with a SWIFT/BIC code, depending on where they bank. Add the invoice number as the payment reference. If one client needs different details, change them for that invoice only.

That is the whole answer. The rest of this guide shows what to include for a client in the US, the UK, the euro area, Australia or anywhere else, what to leave off, and how to use different bank details on a single invoice in LotsInvoice without touching your business settings. Everything about LotsInvoice here was checked in the product and its code on 31 October 2026.

What to include, by where your client pays from

Ask your own bank which details your account needs for each kind of payment, then print only those. The fields below are the ones LotsInvoice lets you fill in.

Your client pays fromUsually neededLotsInvoice fields
The US, by ACHAccount name, account number, routing number, account typeAccount name, Account number, Routing number (ABA), Account type
The UKAccount name, sort code, account numberAccount name, Sort code, Account number
The euro areaAccount name, IBAN, and often the bank's BICAccount name, IBAN, SWIFT / BIC
AustraliaAccount name, BSB, account numberAccount name, BSB, Account number
Another country, by international wireAccount name, account number or IBAN, SWIFT/BIC, bank name and addressAccount name, Account number, IBAN, SWIFT / BIC, Bank, Bank address
IndiaAccount name, account number, IFSCAccount name, Account number, IFSC

LotsInvoice has a field for each of these, plus Bank and Branch. Fields you leave empty are not printed, so a US invoice does not show an empty IBAN line.

A sample of how the block reads, with made-up numbers for a fictional studio:

Example Studio Bank: Sample Bank Account name: Example Studio Account number: 000123456789 Routing number (ABA): 000000000 Account type: Checking Other instructions: Please quote the invoice number as the reference.

Add the invoice number as the reference

A transfer that arrives with no reference is hard to match to an invoice. Use the Other instructions field for one line, such as "Please quote the invoice number as the reference." It prints with the bank details. When the money arrives, you record the payment on the invoice by hand.

What to leave off

  • Card numbers, PINs and online banking logins. Your bank details are for receiving money. Nobody needs anything that lets them take it.
  • Fields the client will never use. A client paying from the US does not need your IBAN. Fewer lines means fewer mistakes.
  • Details you have not checked. One wrong digit sends a payment to someone else. Read the numbers back from your bank statement, not from memory.

Anyone who has the invoice has the bank details, so send invoices to the person who pays them.

Set your usual details once

In the LotsInvoice dashboard open Settings, Payment. Under Bank or ACH details fill in the fields from the table above. Save, then open any draft invoice: the preview shows the real PDF, so you see how the details sit on the page before your client does. Every new invoice for the business carries them.

Use different bank details for one client

Some clients need something else: a euro account with an IBAN for a client in Europe, a US account for a client who pays by ACH, or a separate account for one project. You do not have to change your settings and change them back.

  1. Open the draft invoice or estimate in the editor.
  2. Find the Payment details card. By default it shows your business details from Settings, Payment.
  3. Choose Change for this invoice. The card turns into editable fields, filled with your business details. The card says the details are only for this document and that empty fields are left off.
  4. Edit the bank fields, and anything else that should differ: pay link and button text, Zelle, who checks are payable to, the mailing address for checks, other instructions.
  5. Check the preview, then send.

Use business details on the same card puts the invoice back on your normal details. Your business settings are never changed by any of this.

A few things worth knowing:

  • Empty fields are left off, so clearing a field removes that option from this invoice only. If you clear everything, the editor warns you that no payment details will show.
  • Credit notes have no Payment details card, because nobody pays a credit note.
  • Only owners and editors can change them. A viewer cannot.
  • Recurring invoices and duplicates keep the invoice's own payment details, so a retainer for one client can carry its own bank account.
  • Online payment is a setting for the whole business, so it is not changed per invoice. A deposit or part-payment rule can be set per invoice.
  • Do this on the draft. A sent invoice is locked: the dashboard's Revise option changes the due date, PO number, reference, notes and terms, not the payment details. The PDF you sent keeps the details it went out with, even if you change your settings later.

For a worked example with a euro invoice, see How to invoice a client in another currency.

If your own bank details change

Update Settings, Payment and every new invoice carries the new details. Invoices you already sent keep the details on their PDF, so tell those clients directly. If you are the one receiving a request to change someone's bank details, the FBI's advice on payment-redirection fraud is to confirm account changes through a separate channel before acting (FBI IC3, Business Email Compromise, checked on 31 October 2026). Do the same for your own clients: when your details change, tell them by phone or in person, not only by email.

Bank details next to a Pay button

If you connect your own Stripe or Razorpay account in Settings, Payment and turn on online payment, each sent invoice also gets a Pay button for its exact balance, and a payment made that way is recorded by itself. Your bank details can still be shown for clients who prefer a transfer, and those payments you record when they arrive. LotsInvoice never holds or moves your money and adds no fee. The full picture is in How clients pay you with LotsInvoice.

If you run a studio with several brands

Each brand you invoice from is its own business in LotsInvoice, with its own logo, numbering and payment details, so every brand prints its own bank account. For one client of one brand that needs something different, use Change for this invoice. More in Invoicing several businesses or brands from one account.

Do it from your AI assistant

LotsInvoice works with the AI assistant you already use, when you want it. Connect it at lotsinvoice.com/mcp and ask:

Read https://lotsinvoice.com/skill.md. On the draft invoice for Sample Client Ltd, use different payment details for this invoice only. Bank: Sample Bank, account name Example Studio, IBAN and SWIFT/BIC as I give them next. Keep my business settings as they are, then show me the preview.

The assistant asks you for the real numbers instead of guessing them. Changing where clients pay counts as a Money action, so the connection needs the Money permission, which is off unless you turn it on when you connect. You check the result in the dashboard before anything is sent.

New accounts get free credits when they sign up, no card, enough to run one business for about a month. Starter is $12 a month per business (pricing checked on 31 October 2026 at lotsinvoice.com/pricing). Start at lotsinvoice.com.

FAQ

What bank details do I put on an invoice?

Your account name and account number, plus what your client's bank needs: a routing number for ACH in the US, a sort code in the UK, a BSB in Australia, or an IBAN with a SWIFT/BIC code for euro and international payments. Add the invoice number as the payment reference.

Does an invoice need bank details?

In LotsInvoice every payment field is optional. An invoice without them still works if your client already knows how to pay you, but printing the details is the quickest way to be paid. What your country requires on an invoice is a question for your accountant.

Can I use different bank details for one client?

Yes. In the invoice editor, open Payment details and choose Change for this invoice. The change applies to that invoice only, and Use business details switches back.

Can I change the bank details on an invoice I already sent?

Not in the dashboard. A sent invoice is locked and Revise does not cover payment details. Change them on the draft before you send, or tell the client directly.

Can I show bank details and a Pay button together?

Yes. If you connect your own Stripe or Razorpay account and turn on online payment, the invoice gets a Pay button, and your bank details can sit beside it for clients who prefer to transfer.

Does LotsInvoice hold the money?

No. LotsInvoice never holds or moves your money and adds no fee. Payments go straight to your own account.
